The platform

What is included in Certify245D?

Client intake and the full 245D intake packet, review and annual-review tracking, service authorization reading, AI drafting of CSSP addenda and IAPPs, e-signatures, scheduling, secure messaging, employee files and hiring forms, insurance and bond tracking, auditor access, and CareCertify training — in one login. Payroll is in early access.

Can we use only part of it?

Yes. Each agency runs training only, compliance software only, or both, and can add modules later without moving data.

Does it work on an iPad?

Yes. Intake and orientation packets can be signed on an iPad with the client or caregiver, and everything works on phones, tablets and computers.

What can employees do in the portal?

Staff log in from any phone to update their federal and Minnesota W-4 and direct deposit, change contact details, request earned sick and safe time or time off, report incidents and payroll errors, upload timeslips, take training, download certificates and see their own documents. With payroll (early access), their pay stubs post there too.

Will our documents carry our name, not yours?

Yes. Your legal name, license number, designated manager, grievance and maltreatment reporting contacts and logo are merged into every generated document.

Does the AI write our plans for us?

The AI reads the case manager's support plan and drafts the CSSP addendum and IAPP. Every draft must be reviewed and finalized by qualified staff before use.

Training

Does annual training schedule itself?

Yes. Completing a course opens next year's requirement on the same anniversary, and the 72-hour maltreatment reporting training is assigned when a caregiver is linked to a client.

Who owns the training record?

The caregiver. Records are person-owned and follow the employee, and agencies are granted access to their own staff's records.

Can we get credit for training done elsewhere?

Yes. Prior training can be recorded with its original completion date so staff are not retrained unnecessarily.

Pricing & payroll

What does it cost?

Training only is $99, $199 or $249.99 per month; training plus compliance software is $199, $299 or $399 per month, for up to 20, up to 100, or unlimited employees, on a one-year agreement.

Is payroll available?

Payroll is in early access for Minnesota agencies. It covers federal and Minnesota payroll only. Request early access and we will confirm fit and pricing.

Security & audits

Is Certify245D HIPAA compliant?

Certify245D runs on Google Cloud under a signed Business Associate Agreement, with database-enforced tenant isolation, role-based access and audit logging. HIPAA compliance also depends on your own agency's policies and practices.

How does a licensor review our files?

Grant auditor access: read-only, limited to the clients and employees you choose, with an expiry date. Views are recorded in the audit log.

Licensing

Can I start a new 245D agency right now?

DHS's temporary 245D licensing moratorium runs from January 1, 2026 to an anticipated December 31, 2027, pausing new 245D applications and added services. Exceptions go through county, tribal or regional liaisons only.

Who is responsible for compliance?

The license holder. Certify245D, CareCertify and our consulting support your compliance, but responsibility for meeting 245D and DHS requirements stays with the licensed agency.
